HR Assistant

Vacancy Introduction

We’re looking for a HR Assistant to join our team. With no two days the same, you will provide administrative support to our team of HR Business Partners ranging from invoice checking and the drafting of correspondence through to the coordination of our work experience and incremental long service awards processes. In addition to this our HR Assistant is often the initial point of contact for any queries coming into the department.


As HR Assistant, you will be crucial to enabling the HR Business Partners to operate effectively by managing a significant amount of the teams incoming administrative tasks and general enquiries. Whilst our friendly HR team will provide you with the training and support you’ll need, ideally we are seeking someone with the experience to be able to work autonomously and to make an immediate impact in the role.


As HR Assistant you’ll be joining a busy, fast paced environment with a multi-priority workload. However, we think you’ll find it rewarding too, particularly as you’ll be supporting our amazing keyworker colleagues who have provided vital services throughout the COVID-19 pandemic.

Role Responsibility

•    Provide support to the HR Business Partners and Head of HR Operations with case management, project work and correspondence (e.g. emails, letters etc).
•    Provide guidance and support to colleagues and external service providers in line with policies and procedures, escalating more complex queries to the appropriate team member.
•    Co-ordinate and schedule diaries, HR Projects, training and meetings for the HR department, maintaining effective communication at all levels.
•    Liaise where appropriate with trade unions and their representatives to arrange meetings and authorise attendance with their line managers.
•    Process HR invoices via the finance system as well as organising BACS and cheque payments when required.
•    Co-ordinate requests for work experience with line managers and third parties (schools, colleges, charitable bodies etc); ensuring that requests are appropriately responded to and the appropriate documentation is issued in a timely manner (risk assessments etc).
•    Maintain and update employee personnel records on behalf of the HR Business Partners on the HR database. 
•    Co-ordinate the incremental service award notifications and send them to the relevant Managers.

The Ideal Candidate

•    The proven ability to provide great customer service using the appropriate manner which includes being polite, professional, and compassionate.
•    The ability to adapt quickly in an often reactive working environment.
•    The ability to communicate clearly and confidently across all levels.
•    Good time management and organisational skills including the ability to work to deadlines whilst supporting a number of team members.
•    Good working knowledge of the Microsoft software products such as Word, Excel, PowerPoint, and Outlook.
•    Excellent accuracy, attention to detail and literacy skills.
•    A positive approach to change and continuous improvement.
In line with Government advice, our HR Services team are currently working from home, where possible. However, where necessary attendance at our Head Office site will be required.
